Privacy Policy

Effective date: October 26, 2026

Swim Lessons Vancouver (“we”, “us”) offers private, one-on-one swim lessons across Metro Vancouver. We collect only what we need to set up and run your lessons, and we treat it with care. This policy explains what we collect, why, who sees it, and your choices. We follow British Columbia’s Personal Information Protection Act (PIPA) and, where it applies, Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

When you request lessons on our forms:

  • your name and the swimmer’s name
  • the swimmer’s age group or age
  • your email, phone number and address (so we can match an instructor near your pool)
  • whether you have a pool, your preferred lesson times, lesson length and number of swimmers
  • any notes you add, such as swimming experience, goals, or anything we should know to keep the swimmer safe and comfortable

When you chat or message us: the messages you send through our website chat, email, text, or Facebook and Instagram, and the contact details you share there.

When you book and pay: your lesson schedule, package and lesson balance, and payment records. We do not see or store your full card number. Card payments are handled by our payment processor.

When you visit our website: basic technical information such as pages viewed, device and browser type, approximate location, and how you arrived at our site, collected through cookies and similar tools (see below).

Why we collect it

  • to answer your questions and send you a quote
  • to match you with an instructor based on your location, availability and the swimmer’s needs
  • to book, confirm, reschedule and remind you about lessons
  • to send invoices, take payment and keep our records (including tax records)
  • to follow up if you asked about lessons but have not booked yet
  • to understand how people find our website and to improve our ads and services

We will not use your information for an unrelated purpose without asking you first.

Who we share it with

We never sell your personal information. We share it only with people and services that help us run your lessons:

  • Your instructor. The instructor matched to you receives the details needed to teach: names, swimmer age, address and pool details, lesson times, phone number and relevant notes. Before you are matched, instructors may see a short summary of your request (area, swimmer age and preferred times) so they can say whether they are available.
  • GoHighLevel. Our customer management system stores contact details, messages, bookings and invoices, and sends our emails and texts.
  • Payment processors. Card payments are processed through GoHighLevel’s connected payment processor. E-transfers go through your bank.
  • Google. We use Google Workspace for email and calendars, and Google Analytics to understand website traffic.
  • Meta (Facebook and Instagram). See the next section.
  • Our website host and IT providers, who keep the site running and secure.
  • When the law requires it, for example a court order, or to protect someone’s safety.

Some of these providers store information outside Canada, mostly in the United States. While it is there, it may be accessible to authorities under local law. We choose providers with strong security and contracts that protect your information.

Meta (Facebook and Instagram)

  • Meta Pixel. Our website uses the Meta Pixel (ID 1028125163944181). It tells Meta when someone visits our pages or sends a lesson request, so we can measure our ads and show them to people likely to be interested. Meta may link this to your Facebook or Instagram account under Meta’s own privacy policy.
  • Lead forms. If you fill in a lesson form inside a Facebook or Instagram ad, Meta collects those answers and passes them to us. We then handle them as described in this policy.
  • Ads to clients and similar people. We may share the email address or phone number of clients and people who asked about lessons with Meta, to show our ads to them or to people with similar interests. This information is scrambled (hashed) before it is uploaded, and Meta uses it only to match accounts, not to contact you. We only do this for people who have been told about it. To opt out, email diogo@swimlessonsvancouver.ca with “Ads opt-out” and we will leave you out of any future upload and remove you from lists we have shared.

You can also manage ad settings in your Facebook and Instagram account under Ad preferences.

Cookies and analytics

Our website uses cookies from Google Analytics and Meta to count visits, see which pages help, and measure our ads. These cookies do not tell us who you are by name. You can block or delete cookies in your browser settings, and the site will still work. To opt out of Google Analytics on all websites, you can use Google’s opt-out add-on: https://tools.google.com/dlpage/gaoptout

Children’s information

Many of our swimmers are children. We collect a child’s information only from a parent or guardian, and only what we need to teach safely: name, age, swimming experience and any notes the parent chooses to share, such as health or comfort needs. Please share health details only if they matter for the lesson. We do not knowingly collect information directly from children.

How long we keep it

  • Clients: while you are taking lessons, and then up to 2 years after your last lesson, so we can help if you return.
  • Enquiries that do not lead to lessons: up to 12 months after our last contact.
  • Payment and tax records: as long as Canadian tax law requires (generally 6 years).

After that, we delete or anonymize it.

How we protect it

We use password-protected accounts, limit access to the people who need it, and work with providers that use encryption and secure data centres. No system is perfect, so if a breach ever puts your information at real risk, we will tell you and report it as the law requires.

Your choices and rights

You can ask us to:

  • show you the personal information we hold about you
  • correct anything that is wrong
  • delete your information, unless we must keep it by law (such as payment records)
  • stop sending you follow-up messages, or leave you out of Meta ad audiences

Email diogo@swimlessonsvancouver.ca. We will reply within 30 days, usually much sooner, and there is no charge. You can also reply STOP to our texts or use the unsubscribe link in our emails.

If you are not happy with how we handled your request, please contact us first. You may also contact the Office of the Information and Privacy Commissioner for British Columbia (https://www.oipc.bc.ca) or the Office of the Privacy Commissioner of Canada (https://www.priv.gc.ca).

Changes to this policy

We may update this policy as our services change. The effective date at the top will show the latest version. If a change matters for how we use your information, we will let current clients know.
